This timeline includes internal deadlines and board meeting dates for legislator lists, save the dates, invitations, and reminders.

August 12, 2025 – Legislator Lists to Co-ops & Preview of plan

• Provide each co-op with their legislator list.
• Co-ops review and submit any changes.

October 14, 2025 – Updated Legislator Lists + Save the Dates

• Board Meeting (October 20):
  • Provide updated legislator lists to co-ops (with changes submitted).
  • Distribute Save the Dates to co-op managers.
  • Co-op managers hand deliver or mail Save the Dates to legislators in their districts by Nov 14.
  • OAEC staff hand deliver at the Capitol.
• Goal: Legislators receive first touch ~3.5 months before the event.

December 9, 2025 – Final Legislator Lists + Invitations

• Board Meeting (December 9):
  • Provide updated legislator lists to co-ops (final version).
  • Distribute invitations to co-op managers.
  • Co-op managers mail or hand deliver invitations immediately following the meeting Between Jan 5 – Jan 9.
  • OAEC staff hand deliver at the Capitol.
• Goal: Invitations reach legislators before the holidays.

January 2026 – Final Reminders

• Internal Dates:
  • Email reminders draft due: January 12
  • Send final email reminders: January 30
• January 12–16:
  • Co-op managers hand delivers or calls legislators who have not RSVP’d.
• January 19–23:
  • OAEC sends final reminder emails and calls legislative offices for RSVP follow-up.
• Goal: Confirm attendance just prior to session.

Event Week – February 2, 2026

• January 30: Final reminder email to all legislators.
• February 2: Legislative Event Day!
